2. Telephone numbers servicing the Accountants and Professionals Sectors

Installing Accounts Production on the Network
- We recommend that you get your I.T or Network Engineer to do this for you. If you are installing Accounts Production on a new Server that has never had the software before, you need to create a new folder called APEXDATA on the network drive where the data is to be stored on.
- Share this folder and give full control to the folder and subfolders
- On each machine on the network that will use Accounts Production ensure that they are mapped to the network drive where the data is located.
- The Client List Path on the new Server could be for example; S:\Program Files\Apexwin\Main or S:\Clientlist\Main
- Never have the Client List Path as S:\APEXDATA and the Default Data Path as the same
- The Default Data Path on the new Server could be for example; S:\APEXDATA
- The Network Installation is to be done on the Workstation and NOT on the Server although the Application Destination Folder is on the Server.
- Run the installation disk and select Network Install, and then click Next.
- You are prompted to specify the Application Destination Folder. For example S:\v6Install\
- The setup.exe file will install to this folder. Click Next.
- Data Location: Browse for the Location of the Client List and Client Data Sets (Default Data Path), as the Default Destination Folders may be incorrect, and then click Next.
- Click Next to start the Installation process.
- Click Finish to complete the Installation.
- To carry out the network workstation installation, browse for the setup.exe file on the Server and run the file to complete the installation to the local hard drive
- To carry out the network installation, browse for the S:\v6install\setup.exe file on the PC or Workstation. (This will install Accounts Production onto the local machine i.e. C:\Program Files\Apexwin). This step has to be done on all PC’s on the network that will be using Accounts Production.
Moving from an old Server to a new Server
We recommend that you get your I.T or Network Engineer to do this for you. When moving from an old Server to a new Server, you need to copy the folder that contains all your datasets on the network to either an external hard drive or USB memory stick. If you are not sure where the folder is, you can follow the steps below:
- Click on Tools
- Select Settings
- Select Workstation Settings
- Default Paths
- Make note of the Default Data Path and the Client List path
Moving from an old PC to a new PC
If you buy a new PC to use for Sage Commercial, you need to follow the steps below:
- Install Sage Commercial onto the new PC
- Copy the APEXDATA or the folder containing all your companies and its contents from the old PC onto a memory stick or external hard drive.
- Then Copy the folder for example APEXDATA from the memory stick onto the new PC and onto the C Drive or local disk C:
- If your new PC is running Windows XP or Windows Vista, you need to download the drivers for a Standalone Installation from the Sage website; http://sage.ie/supportnew/AccProd_downloads.asp
- For Windows XP, you need the Windows XP Hasp files. For Windows Vista, you need the Windows Vista Hasp files. For Windows XP Hasp files, you need to download all three files but install just the Dphasp.exe and hinstd.exe. For Windows Vista you need to download and install the driver setup file.
- After installing the drivers, you now insert the dongle into the new PC from the old PC. Some new PC’s do not have ports for the parallel dongle so you will have to contact our technical support line and we can send you a replacement USB dongle free of charge provided you return the old parallel dongle.

New feature to Coretime version 2.1.0.120 - Activity Restrictions
Within Sage Coretime, when entering in time you would usually have to select the project and then scroll down the list of activities that might not be relevant to the project. The activity restriction will now allow only certain activities to appear on the timesheet screen when a project is selected.
Tip of the Month
Did you know that you can correct the 212 or 312 summary screen when the figure showing is incorrect?
To do this:
- Go to program 242 if 212 is incorrect, or go to program 342 if 312 is incorrect
- Then tick the box “Check Each Transaction” under the Options section
- Tick the Report Type as “Totals Only” and then Print To Screen
- Once the report prints out, close the report
- Open program 212 or 312, this should have been refreshed.

How to clear information from the Intellipopup list
The Intellipopup or recent items popup was designed to help speed up the data entry process by suggesting recently entered text for various areas of Sage Accounts software. Up to 32 items are held in each Intellipopup.
8. Sage Payroll Products
View Historical Payslips from 2007 in the 2008 Installation
You can now access an employee's payslip details for the previous 12 months pay periods within the current tax year. The payslip history archives payslips for a year up to the current date.
1. Open the Employee Details window by doing one of the following:
- Click Edit Employees in the desktop's process map.
- Click Edit Employees in the navigation pane's Pay Run view.
- Select the Processing - Employee Details menu option and click Emp Details.
2. Click on the tab Payslip.
The employee's payslip from the previous period is displayed. You can use the arrow buttons in the bottom right-hand corner in the Payslip window to browse through the payslips for other periods. Alternatively, you can click the middle arrow button in the bottom right-hand corner to display a list of available payslips.
3. You can Print or Email the payslip, or generate a PDF version of it.
4. Press Esc, or select File - Exit, to close the payslip preview window and return to the employee record screen.

Bank Transfers
Adding a Bank Transfer
- Select the Bank - Transfers menu option, or click Transfers in the navigation panel’s Bank view.
- Click the Add button.
- On the next available line, enter the details of the bank transfer. Repeat this step for any additional bank transfers.
- When you have made all the required entries, click the Save button. This will post the entries to the nominal ledger. You can check the Bank
Reconciliation window to see the new payment and receipt entries in the
relevant nominal bank accounts corresponding to the bank transfer’s debit
and credit entries.
Note: If you close the window without saving the entries, these transactions will not be posted and their details will be lost. - Click the Close button to return to the list of bank transfers.
Bank Transfers Reporting
To obtain information about the bank transfers that have been posted on the
system, you can run the Bank Transfers Listing.
Optionally, you can also include bank transfer information in the following
reports:
- List of Cash Receipts
- List of Cheque Payments
- Cash Receipts / Payments Report
- Transaction List Report
Additionally, bank transfer information is always included in the Audit Trail.
Importing Data
Almost any CSV file can now be imported from other accounts packages.
Previously, the formatting requirements for imported CSV files were restrictive.
The CSV file should contain a nominal code, description, current and
comparative years balances.
- Select Tools - Import - Import Nominals from CSV File.
- This will display the Mapping of Nominal Codes window. Follow the onscreen instructions to specify the text file and import it.
- Improved Dataset Backup
- The process of backing up a dataset when you e-mail or close it has been streamlined.
New Currencies Added
The Cypriot and Maltese currencies have been added to the list of European
Currencies.
Sage 50 Accounts 2008
Sage Accounts Production integrates with Sage 50 Accounts 2008.
Recent Client List
The task bar and File menu now include a Recent Client list, which provides
quick access to the last five clients opened.
The Nominal lookup screens are now filtered so that only valid nominal codes are listed. In addition, the Nominal Code edit fields now have lookup buttons for quick access to the lookup screen.
Improved Export to Excel
The process of exporting certain nominal reports to Microsoft Excel has been
improved.
Sage Practice Manager Integration
You can now export the Client List to Microsoft Excel. This makes it easier to
migrate clients to Sage Practice Manager.
In addition, when you launch a project from Sage Practice Manager into Sage
Accounts Production, you now select the Year End in Sage Accounts
Production, rather than in Sage Practice Manager.
